LMS implementation guide: a realistic 30-day rollout

Most failed LMS rollouts fail on sequencing, not software: everyone is onboarded at once, in exam week, before anyone has run a real class through it. This is the order that works.

Week 1 — Prepare the data, not the settings

Collect the four lists you will need before touching any configuration screen.

  • Students with parent contact details
  • Staff, with who teaches which subject
  • Courses or batches with schedule and monthly fee amount
  • Outstanding fee balances as of your cutover date

Week 2 — Run one pilot batch end to end

Pick a batch with a cooperative teacher. Schedule real classes, take real attendance, publish one assignment, mark it and return it, and issue one month of invoices. Everything you learn here is cheap; the same lesson learned institute-wide is not.

Week 3 — Train by role, in 30 minutes each

Teachers only need class, attendance and marking. Assistants need the checking queue. The office needs registrations, invoices and reminders. A single two-hour session for everybody produces nothing; three short role-specific sessions produce working staff.

Week 4 — Bring parents in, then switch off the old path

Send parent logins with a one-paragraph note on what they can see, then stop answering routine attendance and fee questions by phone. If the old path stays open, the new one never gets used.

The pre-launch checks

Before going wide, verify these on real records.

  • A recording from a finished class is visible to enrolled students only
  • One overdue invoice actually triggered a reminder
  • A parent account cannot open another child's record
  • Attendance percentage matches a manually counted register
  • A teacher payout figure matches collected fees for that course

Frequently asked questions

Should we migrate historical fee data?
Bring in outstanding balances as of cutover, not full history. Old settled records can stay in the previous system for reference; carrying them across adds risk with no operational payoff.
What is the most common rollout mistake?
Launching during exams or fee-collection week. Pick the quietest fortnight of your calendar, even if it delays the start by a month.
