LMS pricing: what an institute actually pays

Published LMS prices are usually the licence and nothing else. The number that matters is the first-year total, which includes setup, migration, training, the add-ons that turn out to be mandatory, and the staff hours the system does or doesn't save.

The two licensing shapes

Per-active-student pricing scales with you and is predictable when enrolment is stable, but it punishes seasonal intakes and inactive records you forgot to archive. Flat licensing is easier to budget and better for growing institutes, but you pay the same in a thin month. Whichever you are quoted, ask how an inactive or graduated student is counted.

Costs that never appear in the headline

Ask about each of these explicitly before signing.

  • Setup and configuration, one-off or bundled
  • Data migration — students, staff, outstanding balances
  • Training sessions, and whether repeat sessions cost extra
  • Storage for recordings, and what happens when you exceed it
  • Modules sold separately: fees, payroll, parent portal, reporting
  • Support response times, and what a faster tier costs

The add-on trap

The most common surprise is discovering that the fee module, the parent portal or the reporting pack is priced separately, so the platform that looked cheapest is the most expensive once it does the job you bought it for. Per licence, usually yes. Against two separate systems plus the reconciliation work between them, usually no — which is why the comparison should be first-year totals rather than sticker prices.
Can I get a trial before committing?
